Privacy Policy
Last updated: 3 October 2026
This policy explains what personal information Hesabu Online (“we”, “us”) collects through this website, hesabuonline.com, why we collect it, and the choices and rights you have. We handle personal data in line with Kenya’s Data Protection Act, 2019.
What this policy covers
This policy covers this website. The Hesabu Online app at web.hesabuonline.com, where groups sign up, contribute and make payouts, processes the information needed to run your account and your group, such as your phone number, group membership, contributions and transactions. If you have questions about how the app handles your data, contact us using the details below.
Information we collect
- Information you send us. When you use our contact form, we collect your name, phone number, email address (if you give it), the type of group you run and your message.
- Technical information. Like most websites, our hosting provider’s servers automatically record basic technical details when you visit, such as your IP address, browser type, the pages you request and the time of the request. These are used to keep the site running and secure.
- Your cookie choice. If you accept or reject cookies in our cookie banner, we store that choice so we don’t ask again on every page.
We don’t ask for, and you shouldn’t send us, PINs, passwords or full payment details through the contact form.
How we use your information
- To reply to your enquiry and talk to you about using Hesabu Online for your group.
- To operate, maintain and secure this website.
- To meet our legal obligations.
We process this information because you’ve asked us to (for example, by sending an enquiry), because you’ve given consent (for example, to cookies), or because we have a legitimate interest in running a secure website. We don’t use your information for automated decision-making, and we don’t sell it.
Cookies
This website doesn’t currently use advertising or analytics cookies. It uses:
- a cookie that remembers your choice in the cookie banner; and
- cookies that are only set for people who log in to manage the website.
If we add analytics or other non-essential cookies in future, we’ll ask for your consent through the cookie banner first and update this policy. You can also block or delete cookies in your browser settings.
Who we share information with
- Service providers who host this website and deliver our email. They may only use your information to provide that service to us.
- Authorities, where the law requires us to.
This website doesn’t load fonts, analytics or other content from third-party services. Everything it shows is served from our own hosting.
Where information is processed outside Kenya, we rely on providers that apply appropriate safeguards, as the Data Protection Act requires.
How long we keep it
We keep enquiries for as long as we need them to respond to you and follow up, and then delete them. Server logs are kept for a limited period by our hosting provider for security purposes.
Keeping it safe
This website is served over an encrypted (HTTPS) connection. Enquiries are stored privately and are only available to people who manage the website. No system is perfectly secure, but we take reasonable steps to protect your information.
Your rights
Under the Data Protection Act, 2019, you have the right to:
- be told how your personal data is used;
- access the personal data we hold about you;
- ask us to correct data that is wrong or delete data that is false or misleading;
- object to our processing of your data, or withdraw consent you’ve given; and
- ask us to delete your data, or to give it to you in a portable format, where the law allows.
To use any of these rights, contact us using the details below. If you’re not satisfied with our response, you can complain to the Office of the Data Protection Commissioner (ODPC) at www.odpc.go.ke.
Children
This website is meant for adults who manage or belong to groups. We don’t knowingly collect personal data from children through it.
Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top of this page.
